Mercurius documents the information you give us about yourself when you become a member. We only keep and use the personal data that you provide directly or which is clearly known to us when it is submitted to us through any communication channel. We may collect the following information: name, contact information including email address and phone number, demographic information such as postal code, and information regarding your enrolment at the university, like your student number. We ask the student number of new members, because we have to prove to the University of Amsterdam that our members are actually registered as students.
Details submitted by you are then under the responsibility of Mercurius. We require this information to understand who our members are and to improve our events and activities according to your needs. Additionally, we use the information for the following reasons: internal record keeping, improving our services and to periodically sending promotional emails concerning new events.
Additionally, some activities might require you to send us additional information. For example, trips outside of Amsterdam may require you to provide us with passport information, citizen service number and insurance details. We might need this for flights, visa applications and identification for entrance to official government buildings. Insurance details are asked because Mercurius cannot be held responsible for accidents, neither can Mercurius be held liable in any way for any material or physical damage to the participants’ property, or damage caused by the participant. Therefore, we need this information to show that each participant is individually insured when this is a requirement.
This information will only be shared with those within the organization in charge of organizing the trips, board members or committee members or with external companies such as airlines. After the event the information will be deleted from the Google Drive. The same concerns for resumes containing personal details.
Via ‘My Account’, you will be able to view and correct your personal information. Your personal data will be stored on the secured servers of Peppix Benelux, which are situated within the Netherlands. No worries, the National Security Agency (NSA) won’t look over our shoulder.
During events Mercurius reserves the right to take photos and video content for promotion purposes. The content will stay within the organization and will only be used for promotional purposes of Mercurius itself.
In case you do not wish to be photographed or if you do not want content of you to be uploaded online, you can contact us and we will make sure that this footage is not saved or distributed.
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical and managerial procedures to safeguard and secure the information we collect online. Information can only be accessed by board members and committee members who need to use the information for the purpose of why it is required.
Access to personal information registered on the website is protected by username and password and is only provided to the board members of Mercurius.
We use a secure connection (secure Sockets Layer, SSL) which protects all information between you and our website when you enter personal data. Additionally, the server contains various firewalls to monitor DDOS attacks, hacker attempts and foreign traffic.
Lastly, we keep statistics on our website use, but this is done anonymously.

Email content and question form
Members and individuals or organizations outside of Mercurius can get in contact with us via e-mail or via filling in the contact form on the website. Information discussed via these channels are saved on the website or archived in our e-mail accounts. This is done because with an annually changing board it is important to archive information discussed, in case this needs to be checked or used at a later point in time.
In case you do not want us to keep certain conversations, you can contact us and we will delete it from our archive.
We offer a newsletter with which we want to inform interested parties about our events. Your email adress is automatically added to the list of subscribers when you become a member of Mercurius. Each newsletter contains a link with which you can unsubscribe.

Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement.
